The Challenge
- The company already had more than 200 licensed Notion users, but most colleagues only used it for notes
- Departments adopted Notion on their own, with no shared way to turn it from a personal tool into a system that connects teams
- Teams knew little about Notion AI and Agents, so AI had not made it into their daily workflows
Background: A large company with more than 10,000 staff, several departments already on Notion, and a group of internal champions keen to drive adoption. The company needed to validate the platform before its budget cycle. Without deeper adoption, it would be hard to justify more licences.
The Solution
Approach
- Co-designed the curriculum with Notion's Singapore team and delivered three on-site enablement sessions
- Built the sessions for beginners and advanced users alike: Notion basics (blocks, pages, databases, views), then hands-on AI, then showcases from internal champions
- Used a four-step method, Purpose, Assemble, Visualize, Enhance, so participants left with a building method they can reuse
Core Components
- Participant workbook system: each participant duplicated a personal workbook into a dedicated teamspace, with step-by-step guides, ready-to-copy AI prompts and demo videos, so all 100 participants could keep pace together
- Notion Builder AI skill: the four-step method packaged as a reusable AI skill that guided participants as they built their own system with Notion AI
- Internal champion showcases: internal champions shared the workflows they had built, giving participants examples that felt close to home
- Ongoing support: a support group and follow-up channel after the sessions, so the learning carried into daily work
The Outcome
- Three on-site sessions delivered to more than 100 participants, from beginners to advanced internal users
- Every participant built a prototype of their own team system during the hands-on session: one clear purpose, one core database, useful views and a short guide
- Participants learned a reusable four-step building method and good habits for working with Notion AI
- A post-training support channel keeps adoption growing inside the company
